Handling so much paperwork can be a hassle and when you’re in real estate, you can be sure to have a lot of them. So how do you keep organized?
When you have a big workload dumped on you, you can always expect to get a lot of paperwork along with it. For those who’re in the business of buying, selling, or renting out property spaces, you can be sure to expect this hassle. There’re a lot of government documents, contracts, and other requests that you have to sift through before you acquire the property or sell it out.
And even after completing the entire process, you’ll still be keeping the documents you’ve gotten for the future.
The stress of the process of getting documents approved and whatnot can leave you feeling overwhelmed, which is why most people end up having their files disorganized or even missing—and it makes everything a lot harder.
Some of you may argue that taking the time to organize your real estate documents may create even more of a hassle for you, but in fact, keeping them organized can actually help you cut some more time. Here’re a couple of tips and tricks to help you get organized faster and easier:
Set Your Organization Goals
Before anything else, you need to set your organization goals first. This may vary from person to person but it’s always ideal to stick to these goals:
- Easy to File – There’s no point in organizing your files when you’ve created a system that leaves you confused and lost when you go back to your filing system. You don’t want your system to be a huge, hierarchical maze. You want it to be fast and easy to save files to your system does not cause friction or much hassle for you.
- Easy to Find – You want your system to make it easy to find the file or folder you need, either by poking through folders or using search. Again, you want your files to all to be easily accessible and not lost in a maze.
- Reusable – Where possible, you want to use re-usable templates and naming conventions, both of which support the previous two goals
Create a System That Works for You
People work differently, which is why it’s best to create a system that works for you. Do you remember things better when they’re color coded? Do you recall things faster when they’re coded a certain way? Would it be better if you had lesser folders to put your papers or documents in? Do subfolders help? Will creating a cheat sheet for your system be better?
Create a system that’s perfectly designed to help make your life easier. Again, there’s no point in organizing your files if it’s not going to make your life easier in the long run.
But, here are some organization systems to give you an idea of what you can use:
- Organize by Category
- Organize by Date
- Organize by Use
- Don’t Put Off Organizing Your Files
“This sounds complicated. I’ll do it later”. Don’t let that thought creep in, or you may as throw out organizing your files altogether. It’s only going to get messier and messier from here on out. This is more of a “no excuses” tip than a technical idea or trick, but like a lot of things, very little skill is needed to actually be organized and efficient and is highly dependent on how you want to customize your organization.
Instead of telling yourself “I’ll get to this later“, just quickly do it right there and then.
Of course, priorities are always important to keep in mind and this isn’t a time management article. However, it’s surprising how little effort it really takes just to start the process. The greatest resource it takes is just an overall consciousness to put this file or folder in the right place.
